Safety Guidelines for Our Event
Emergency Procedures
- Familiarize yourself with the emergency exits of the venue in advance.
- In case of an emergency, leave the premises through the nearest emergency exit.
- Stay clear of the road so that emergency personnel can reach the venue.
- Follow the instructions given by the security stewards.
Event Rules
The event follows a set of rules designed to create a safe and meaningful experience for all participants. Safety and order at the event are supervised by security stewards approved by the police. Their instructions, as well as those given by the organizers, must be followed.
Security stewards have the right to deny entry to the venue and, when necessary, remove from the event anyone who fails to follow these rules, Finnish law, the event's anti-harassment policy, or otherwise causes a disturbance. No refunds will be given for tickets belonging to persons removed from the event.
Conduct
The main organizer of Jokihovi Autumn Ball, Immersia Events, together with the organizing team, wants to ensure a safer space for all participants and, through this, a pleasant experience for everyone. Bullying and harassment have no place at the Fantasy Ball, so please remember to treat everyone with respect throughout the evening.
If another guest, a security steward, or another member of the organizing team asks you to stop an activity because it is disturbing to them, please listen to their request.
During the ball, you can report inappropriate or disturbing behaviour to the staff of the venue, any member of the organizing team, or the designated harassment contact person, who will be introduced at the event.
Weapon Replicas and Props
If your costume includes a replica bladed weapon or another object longer than your hand as an essential part of the costume, it must remain securely attached to the costume. Waving or swinging any long objects around at the event is not permitted. Please also note that no part of a costume resembling a sword or other bladed weapon may be sharpened. Replicas of firearms are strictly prohibited.
Any bladed weapons that may be provided as props at the photography area must not be taken away from the photography area.
The culturally and historically valuable surfaces of the venue require anyone carrying potential bladed props to exercise particular care. Prop weapons and other sharp or hard parts of costumes must not damage the surfaces of the venue. The parquet floor of the ballroom is one example of such a surface.
Intoxicating Substances
Guests may not bring their own drinks to the event, and persons who are visibly intoxicated or behaving disruptively due to intoxication are not welcome at the ball.
The venue's own paid bar serves our guests in accordance with its alcohol-serving license. The entire event area is a licensed serving area.
Intoxicated guests will be asked to leave the event. If necessary, prohibited substances may be confiscated. Illegal substances will always be reported to the police.
Smoking and the use of e-cigarettes are permitted only outdoors, near the entrance on the side of the parking area next to the VPK House.
Attire
When choosing an outfit for the ball, please keep in mind that the event is intended to be a formal and festive occasion. Appropriate clothing is required, but as all participants are adults, outfits may also be tastefully revealing.
Dressing in various types of character or role costumes is permitted. Please note that, for the purposes of identity verification, you must be able to show your face when necessary. However, the ball is neither a masquerade nor a cosplay event. Whether your outfit represents a specific character or a generic inhabitant of a fantasy world, it must be suitable for situations where there are many people on the dance floor.
Wearing or displaying symbols that are incompatible with the values of our event or that promote hatred towards other groups of people is prohibited as part of any outfit. Regardless of costume, behaviour intended to frighten or cause distress to other guests is prohibited.
Discord
Our event's own Discord server is available before, during, and after the event. We want to create the safest and most successful experience possible for all our guests digitally as well.
Bullying and harassment of any kind have no place at Immersia Events' events and therefore have no place on the Discord server either. Please remember to treat everyone with respect.
Our server administrators also monitor conduct on Discord. Disruptive or inappropriate behaviour may result in temporary or permanent removal from the server.
Other Important Information
Unfortunately, pets cannot be brought to the ball. Animals must also not be left unattended in the immediate vicinity of the event area, even if the animal is accustomed to being left alone. Guide and assistance dogs are, of course, welcome inside the venue as well.
Nothing may be attached to the walls or any surfaces of the VPK House.
Commercial activity at the event is restricted. If necessary, please contact the organizers.
Let's keep Jokihovi clean and dispose of our own rubbish in the appropriate waste bins. Bringing used dishes to a place where the kitchen staff can easily collect them is considerate behaviour and helps the organizing team with the cleanup after the event.
The venue is located in the heart of Turku. Please be considerate of the local residents, including those outside the event area.
